Getting Started with Dashboards: Analytics and Insights in DocStation

Use DocStation dashboards to track billing performance, build custom charts from your claims, invoices, patients, and tasks, and turn your data into insights.

Dashboards give you a live view of how your pharmacy's clinical services are performing. See which payers are paying, which procedures drive revenue, where claims are stalling, and how your team's tasks are moving, all in one place. This article covers who has access, finding your dashboards, system and organization dashboards, adding dashboards to your tab bar, creating a dashboard, adding a chart, and arranging your layout.


Who has access to Dashboards

Dashboards are available on Base/Plus, Enterprise, and Enhanced Program participant subscriptions.

If you're on an Essentials/Lite subscription, you'll see the Dashboards area in your sidebar, but the dashboard tools are locked. Select Upgrade Plan or Contact sales from that screen and our team will walk you through your options.


Finding your Dashboards

Select the Dashboards icon in the left sidebar (the four-square icon just below Home). Your favorited dashboards appear as tabs across the top of the page, so you can switch between views with one click.


System dashboards and organization dashboards

Select the three-dot menu at the top right of the Dashboards page to open the full list. Dashboards are grouped into two sections:

  • System Dashboards: Built and maintained by DocStation, ready to use on day one. These include More Than A Script Dashboard, Billing Stats, General KPIs, Stale Claims, Invoice Analytics, and Tasks.

  • Organization Dashboards: Dashboards your team creates. Build as many as you need for different roles, locations, or questions.

Use the search bar at the top of the list to jump to a dashboard by name.

A good place to start is Billing Stats. It shows how many payers, procedures, and providers are being paid, what's being paid by procedure, which payers are paying the most, and a Claims AR Aging Report, so you can spot where revenue is coming from and where it's getting stuck.


Adding dashboards to your tab bar

  1. Open the dashboard list: Select the three-dot menu at the top right of the Dashboards page.

  2. Favorite a dashboard: Select the heart icon next to any dashboard. A red heart means it's pinned to your tab bar.

  3. Remove a tab: Select the heart again to unpin it.

Favorites are your own, so each person on your team can set up the tabs that matter most to their work.


Creating a dashboard

  1. Open the add menu: Select the blue + button at the top right of the Dashboards page.

  2. Select Create Dashboard.

  3. Name your dashboard: Enter a name that tells your team what the dashboard answers, such as "Weekly Billing Review" or "Immunization Revenue," then select Create Dashboard.

Your new dashboard opens empty and appears under Organization Dashboards. Next, add charts.


Adding a chart

Charts are built from a data source and a report style, with optional filters and grouping. As you make selections, a live preview on the left updates so you can check the result before you save.

  1. Open the chart builder: With a dashboard open, select the blue + button and choose Add Chart.

  2. Enter a title and description: The title appears on the chart card. The description is optional and helps teammates understand what the chart shows.

  3. Choose a Report Style:

    • Table: A list of records with the columns you choose. Best for detail views like "claims by procedure."

    • Bar Chart: Compare values across categories, such as claims by status or insurance paid by payer.

    • Line Chart: Show how a value changes across a series, such as claim counts by status.

    • KPI: A single headline number, such as total patients or total billable claims.

  4. Choose a Data Source: Pick the data the chart is built from. Available sources include Billable Claims, Claim Service Lines, Invoice Line Items, Patients, and Tasks.

  5. Configure the chart: The options change based on the report style you selected.

    • Table Columns (Table): Select the columns to display.

    • Fields and Aggregate Fields by (Bar, Line, KPI): Choose the field to measure and how to roll it up, such as Count.

    • Group by or Segment Fields by (optional): Break the results out by another field, such as payer or status.

    • Top N (optional): Limit the chart to the top results, such as the top 5 payers.

  6. Add Query Filters (optional): Narrow the data with Rules (a single condition) or Groups (several conditions combined with AND or OR). For example, filter Billable Claims to a single date range or a specific payer. Note that the query builder isn't available for every data source; when it isn't, you'll see a message in the builder.

  7. Check the preview and save: Confirm the preview shows what you expect, then select Save and close. The chart is added to your dashboard.

📌 Ideas to try:

  • A bar chart of Billable Claims segmented by Status to see where claims are sitting.

  • A KPI of Patients to track your active patient count.

  • A bar chart of Tasks by Task Status to see what's waiting on your team.

  • A table of Claim Service Lines by procedure code to see which services you're billing most.


Arranging your layout

  • Move a chart: Drag the handle at the top left of the chart card to a new position.

  • Resize a chart: Drag the corner at the bottom right of the chart card.

Put your most important numbers, such as KPI cards, at the top so they're the first thing you see.
