How to Use the Patient List Query Builder

Overview

The Patient List in DocStation features a powerful query builder that makes it easy to filter and find patients based on specific criteria. This guide walks you through using the enhanced filtering capabilities to extract patient data.

Getting Started

Navigate to the Patient List from your DocStation dashboard. You'll see a table displaying all patients associated with your organization's locations.

Building Patient Queries

Using the Query Builder

  1. Open the Filter Panel

    • Click the filter icon or "Add Filter" button at the top of the patient list

    • The query builder panel will appear, allowing you to create custom filters

  2. Select Filter Criteria

    • Choose from available patient attributes such as:

      • Demographics (age, gender, location)

      • Clinical data (conditions, medications, allergies)

      • Program enrollment status

      • Insurance information

  3. Add Multiple Criteria

    • Click "Add Rule" to include additional criteria

    • Combine multiple filters to narrow down your search

    • Use "AND" logic to find patients meeting all specified conditions

  4. Apply Your Query

    • Once you've configured your filters, click "Apply Filters"

    • The patient list will update to show only patients matching your criteria

Refining Your Results

Modifying Filters

  • Edit existing filters: Click on the Filters panel to adjust parameters

  • Remove filters: Click the "X" icon next to a filter criteria to remove it

  • Clear all filters: Use the "Clear current filter" under the Option menu to start fresh

Sorting Results

  • Click on column headers to sort by that field

  • Toggle between ascending and descending order

Saving and Exporting

Save Common Queries

If you frequently use certain filter combinations, you can save them for quick access in future sessions. This feature helps streamline routine reporting and patient list management.

  • Click the Options menu

  • Click Save Filter

  • Give the filter a name

When returning to the same filter, click "Load saved filter" in the Options menu and select the desired query.

Export Patient Data

Once you've filtered your patient list to show the desired results, use the export function to download the data for external analysis or reporting purposes. Click the download button in the top right corner. The resulting export will exactly match the query criteria and the selected table columns.

Tips for Effective Filtering

  • Start broad, then narrow: Begin with general criteria and add more specific filters as needed

  • Use date ranges: Filter by date ranges for time-based analysis (e.g., patients with values reported in the last 30 days)

  • Combine clinical and demographic filters: Create targeted patient segments for outreach or program enrollment

  • Save frequently used queries: Build a library of saved filters for common reporting needs

  • Identifying patients due for follow-up labs

  • Finding patients with specific conditions for program enrollment

  • Generating lists for quality measure reporting

  • Segmenting patients by insurance type or payer

  • Locating patients assigned to specific locations or programs
